Engaging Radiation Oncology Stakeholders for development of next-gen analytics platform

A global leader in radiotherapy solutions, sought to develop version 2.0 of its Flagship Analytics platform, transitioning customers to a cloud-based SaaS model. This platform aimed at improving radiation oncology management. The client faced an operational challenge to gather insights from a highly niche healthcare audience group including radiation oncologists, medical physicists, and hospital administrators.

Objective:

Understanding unmet needs, current practices and challenges in radiation oncology management from key stakeholders involved in purchase and usage of medical technologies within healthcare settings.

Stakeholder Recruitment & Pre-Screening Process

Recruitment Challenges:

Our Solution:

  1. Customized Recruitment Approach:
    • LinkedIn Recruitment: We used LinkedIn to directly reach professionals with specific qualifications, filtering for key roles in radiation oncology and medical physics.
    • Paid Sources: Leveraged and industry-specific databases to access contact information for decision-makers in relevant healthcare settings.

2.  Pre-Screening and Qualification:

  • A detailed pre-screening survey was used to ensure that only qualified professionals met the criteria.
  • Multiple Follow-Ups: Recruitment involved multiple contact touchpoints, including email, phone calls, and social media outreach, ensuring higher engagement rates

3.  Incentives and Engagement:

  • Offered compelling incentives to encourage participation and improve completion rates.
  • Managed participant expectations clearly, highlighting the importance of their input in shaping the development of a cloud-based analytics platform.
  • Engagement through Regular Updates: Throughout the recruitment process, we kept participants informed, ensuring continued interest.

4.  Execution:

  • Conducted survey completion via email with options for phone follow-ups for those who faced technical issues or needed additional clarification.

Outcome & Results:

  • Successful Completion Rate: We were able to successfully achieve the target of 75 completed surveys, with an equal split between radiation oncologists, medical physicists, and hospital administrators.
  • Engagement Over Time: We ensured consistent participation with minimal drop-off by keeping participants engaged with regular follow-ups, surveys, and updates.
  • Data Quality: Collected high-quality data that provided the client with actionable insights into the challenges faced by radiotherapy professionals and their expectations from a cloud-based analytics tool.
  • Client Satisfaction: The client was highly satisfied with the timely execution, quality of responses, and the actionable insights generated from the survey, which played a crucial role in the development of their next-gen analytics platform.

Key Takeaways:

  • Custom recruitment strategies and targeted outreach were essential to engage highly specialized professionals.
  • Pre-screening and incentives helped reduce drop-offs and maintained a high level of respondent engagement.
  • Clear communication about the importance of participation ensured high-quality responses from difficult-to-reach stakeholders.
